1. What this policy covers
This Refund Policy explains the general principles that apply to refunds, cancellations, and billing corrections for the AI bot subscriptions and related services sold by Al-Shohab International through bootshop-pro.com and through direct sales conversations.
It does not cover refunds or chargebacks for purchases made through any third-party platform, marketplace, or reseller — those are handled under that platform's own refund policy.
2. Before any work has started
If you change your mind before we have begun substantive work on your engagement (for example, before we have configured your bot, written any custom prompts, set up your integrations, or paid any third-party onboarding fees on your behalf), we will normally refund any amount you have paid for that engagement, minus:
- any non-refundable costs that we have already incurred on your behalf (see section 4);
- any bank, payment-processor, or currency-conversion fees that we cannot recover.
To keep things clean, "before any work has started" usually means within 7 calendar days of your payment, while the engagement is still in the "signed but not started" state. Anything beyond that is reviewed under section 3.
3. Custom and partially delivered work
Most of what we sell is a mix of a subscription (the bot itself, hosted) and custom work (configuration, integration with your stack, training on your data, custom conversation design, custom voice persona, etc.). Once we have started that custom work, it cannot be "returned".
That said, if a clearly defined part of the agreed scope has not been delivered, we will look at a partial refund or a credit for the undelivered part. The general approach is:
- You tell us, in writing, which specific deliverable you believe has not been delivered, and why.
- You give us a reasonable opportunity (usually 14 calendar days) to fix it, deliver the missing piece, or agree an alternative that delivers the same business value.
- If we still cannot deliver that piece, we will discuss a partial refund of the unspent portion of the fees, calculated against the agreed scope and any third-party costs already incurred.
All of this is decided on a case-by-case basis. We do not run automatic refunds on a fixed schedule, and we do not promise a specific refund percentage on undelivered work before we have actually looked at the engagement.
4. Third-party fees
Many of our bots rely on third-party platforms: WhatsApp Business API conversation fees, Meta Verified, TikTok Display API, Telegram Bot hosting, Google Cloud Text-to-Speech, voice telephony minutes, payment-gateway transaction fees, domain and SSL renewals, and similar. Whenever we pay a third-party fee on your behalf, we pass it through to you at cost.
Once a third-party fee has been paid and "consumed" — for example, a WhatsApp conversation charge that has been delivered, a phone number that has been provisioned, a domain that has been registered, a stock-voice minute that has been used — that cost is normally not refundable, because the third party does not refund us either. This is true even if you cancel the engagement soon after.
Where the third party does support a credit or reversal (some platforms do, for example within their first billing cycle), we will of course pass that back to you.
5. Recurring subscriptions
Recurring monthly subscriptions (for example, a bot on the Starter, Pro, or Enterprise plan) are billed in advance for the upcoming period. You can cancel a recurring subscription at any time for the next billing period, and the cancellation will take effect at the end of the current paid period.
Because the period has already been paid and the bot has already been provisioned, the current period is normally not refundable. We do not pro-rate refunds for partial use of an active subscription period. We will pro-rate only if a written agreement for your engagement explicitly says so.
If you want to cancel, give us at least 7 calendar days' notice before your next renewal date so we have time to wind down cleanly and avoid another charge.
6. What is generally non-refundable
To summarise, the following are generally not refundable, except where a specific written agreement says otherwise:
- Custom configuration, training, integration, and conversation design once we have started it.
- Third-party platform fees that have already been consumed (see section 4).
- The current billing period of a recurring subscription that is already active.
- Bank, payment-processor, or currency-conversion fees that we cannot recover.
- Add-ons, premium voice personas, and one-off professional services hours that have been delivered.
7. Duplicate or mistaken payments
If you notice a duplicate charge, a charge in the wrong amount, a charge for a product you did not order, or a charge after you have already cancelled, tell us as soon as you can. Send us the date, the amount, the last 4 digits of the card (or the payment reference), and a short description of the problem.
For clear mistakes (a duplicate, a charge after a confirmed cancellation, a wrong amount), we will refund the affected amount through the original payment method, normally within 10 business days, once we have verified the transaction.
If you have an unrelated dispute with your bank or card issuer (a so-called "chargeback"), we will need to investigate the transaction in parallel. Filing a chargeback does not stop you from contacting us directly, and contacting us directly is almost always faster.
8. How to request a refund
To request a refund, cancellation, or billing correction, please send the following details in a single message:
- Your name, company name, and the email address on file.
- The engagement or invoice this is about (quote number, invoice number, or bot name).
- The date and approximate amount of the payment.
- A short, factual description of the issue and what outcome you would like.
- Any supporting screenshots, conversation links, or error messages that help us understand the situation.
Send the request to info@bootshop-pro.com, with the subject line starting with the word "Refund" so it is routed to the right person. You can also open the same conversation on WhatsApp at +966 56 575 2303 — but please follow up with the written details by email so we have a clean record.
9. Review timeline and method
Once we receive a complete refund request, we will normally acknowledge it within 3 business days, and we aim to give you a written decision within 14 calendar days. Complex cases (multi-bot engagements, third-party disputes, missing invoices) can take longer; if we need more time, we will tell you why and when you can expect an answer.
Approved refunds are paid back to the original payment method. We do not pay refunds in cash and we do not pay them to a different card or account, except where the original method no longer exists and the bank or payment processor is unable to process a refund to it — in that case we will work with you on a safe alternative.
10. If we cannot agree
If we decline a refund and you disagree, please reply with the additional information you would like us to consider. We will re-review the request, ideally with a second member of our team involved.
If we still cannot agree, the dispute will be handled under the governing-law and dispute-resolution clauses of your written Services agreement (or, if you do not have one, under our Terms of Service).
11. Changes to this policy
We may update this Refund Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. Refund requests are always reviewed against the policy that was in force on the day the relevant payment was made, not the day you send the request, so an updated policy will not retroactively make a previously non-refundable fee refundable (or vice versa).
